§ 14-4. Review; notification of request to city commission/applicant.

  • (a)

    The special events coordinator shall review the letter of request for approval to determine if the proposed event may be designated as a special event. If so determined, the special events coordinator shall contact the applicant(s) and make arrangements for a planning meeting. The special events coordinator shall forward to the applicant(s) a copy of the special events ordinance. This shall include a "pre-event assessment list" outlining specific items that will be discussed in the planning meeting, a sample "special event—vendor permit" and a sample "indemnification form—special event". "Class C" events may be coordinated by the special events coordinator without the support of the special events committee. The special events coordinator will schedule an event planning meeting between the committee and the applicant(s) of the special event for "Class A" and "Class B".

    (b)

    All aspects of the proposed event and its impact on the city shall be discussed to establish policy and procedural requirements, necessary city services, appropriate fees and correct any deficiencies from a public health and safety standpoint that may be necessary and/or in the best interests of the city. The special events committee and the city manager will either approve or disapprove the event. City staff shall notify the commission of upcoming "Class A and B" special events by correspondence. No notification is required for "Class C" events.
